My privacy policy

Your privacy is important to me and my privacy notice explains how I use and protect your personal information. I will only use the information you give me for legitimate business reasons and for the purpose of us working together.

It is my responsibility to ensure my business is compliant with HMRC, my professional insurance and professional registration as a counsellor with the BACP.

I adhere to current data protection legislation, including the General Data Protection Regulation (EU/2016/679) (the GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications (EC Directive) Regulations 2003.


Data controller

I am registered with the Information Commissioner’s Office as the data controller for Bev Woolmer Counselling and am responsible for the personal data that I collect and store in the running of my business. Information that I hold will only be used for legitimate business purposes. I will only contact you in relation to the counselling service that I am providing to you and for no other reason.

All information I hold is kept securely, I use encrypted devices, all documents and devices are passcode protected.

Confidentiality will only be broken and information shared if there are legal or ethical obligations that require me to disclose, for example in relation to a disclosure of abuse or neglect to a child or vulnerable adult or where there may be an imminent risk of serious harm to yourself, or if a court of law requires me to disclose information.

Your information

I keep brief notes of our sessions whilst we are working together, your therapy notes and personal information are stored separately. There is no identifiable information recorded within your therapy notes. Therapy notes are held securely and stored in a locked cabinet, that only I have access to, they are safely destroyed 6 months after we finish working together.

When we finish working together, I will delete from my phone and email account your contact number, text messages and email correspondence, unless they relate to any legal or ethical obligations, in which case they will be printed and stored securely in a locked cabinet that only I have access to.

Once counselling has ended, I am required for insurance and tax purposes to keep basic personal records for 5 years, this is held securely and is password protected and then safely destroyed.

You have the right to request to see any information that I hold about you. I will make this information available to view during a session with you. Any information that I hold which is incorrect, you can ask me to make changes to. You have the right to ask me to delete any information that I hold about you, I will do this with the exception of information that I have a legal obligation to keep, for example tax and insurance purposes. Please note that any request for all data to be deleted whilst we are working together, may mean I am not able to continue to offer you a service.
